Below you will find some basic information on ordering. If you require assistance with the ordering process, please contact our order department at (757) 645-9369 or at service@immva.com. Although it is not necessary to do so, customers may find it helpful to review orders with our order department before they are submitted. This will ensure that you are ordering the correct products and accessories. We do not take phone orders. Pricing information on all products is available on our website under the Price List tab. You might also want to look through IMMVA's Return Policy. You can also find information on how to return products for service, evaluation and repair in this document.
HOW TO PLACE YOUR ORDER
Customers can order products in one of two ways:
1 Ordering By Purchase Order (P.O.)
If your organization requires you to obtain a purchase order (P.O.) to purchase products or supplies, please fax your P.O. to us at (571) 730-2207, or mail a copy of it to us at our mailing address, which appears at the bottom of this page. Customers are also welcome to email purchase orders if you have this capability. This must be an official purchase order, and not a purchase requisition. Please do not submit a purchase requisition to us in place of a purchase order. If your purchasing department requires a W-9 form from us, please contact our order department at (757) 645-9369 or via email at service@immva.com. If you are ordering on a purchase order, you may find it helpful to review your order with one of our sales representatives or a member of our order department.
Your P.O. should contain the following information:
- a list of the items you would like to order, specific "ship to" and "bill to" instructions, as well as contact name, number and email address of the person who will be using the equipment,
- your P.O. must state somewhere on it will allow for shipping and handling charges.
We do accept Visa, MasterCard and Discover for payment on a purchase order, however, we still require the purchase order to be faxed, emailed or mailed to us and it should include all of the information described above. "All credit card orders over $500 (incl. S & H) will be assessed a 2% credit card fee." Your IMMVA representative can advise you of this fee once you know what you will be ordering. Please note: Purchasing departments do not always provide end-user information. In order to ensure that you receive updates on your product as well as support for it, be sure that your contact information appears on the P.O. (including email address, telephone number and your department) so that it can be entered at the time your order is processed.
If you would like confirmation that your purchase order has been received, please provide that request along with the purchase order and please include an email address. Because of the large volume of orders received daily, we cannot fax or telephone order receipt confirmations.

2 Ordering without a purchase order – using our secure "Order Online" option
If your organization does not use an official purchase order system, you may place your order by using our secure "Order Online" option.
There are three options for payment, which are listed below. If you require a more detailed explanation or require assistance in selecting the right method of payment, please contact a IMMVA representative. Orders are processed immediately upon receipt; however, we cannot guarantee an exact date your order will ship. With the exception of backorders, special orders and ordering option 1, we make every effort to ship orders within 1-3 business days of being received, however, this is not a guarantee and orders can take longer to fill depending on the time of year, etc. In addition, this does not include the time it takes for the carrier (UPS) to deliver the items to you. Payment Option 1:
If you select the first option on the order form, your order will be processed immediately upon receipt; however, we will await the arrival and clearance of your check before shipping your order. Once your check has cleared, your order will be shipped within approximately 1-3 business days, however, this is not a guarantee and orders can take longer to fill depending on the time of year, etc. In addition, this does not include the time it takes for the carrier (UPS) to deliver the items to you. Payment Option 2:
If you would prefer to pay by check, but would like your order sent out before the arrival and clearance of your check, you can select payment option 2. This payment option allows you to secure your order with a Visa, MasterCard or Discover credit card as collateral. Your order will ship within 1-3 business days of being received, however, this is not a guarantee and orders can take longer to fill depending on the time of year, etc. In addition, this does not include the time it takes for the carrier (UPS) to deliver the items to you. If you need your order by a particular date, please contact our customer service department at 757-645-9369 and we will make every effort to accommodate your needs.
We will invoice you for your order, and you can submit a check for payment. Your Visa, MasterCard or Discover will be authorized for the amount of the order to show that there is sufficient funding to cover the final invoice total, before your order is sent out. (Authorization is NOT a charge to your credit card.) If we do not receive payment within 30 days of the invoice date, your card will be charged for the amount of the order. We will attempt to notify you once via phone and/or email before we charge your card.
Payment Option 3:
The third option is to simply pay for your order by Visa, MasterCard or Discover. If you purchase by Visa, MasterCard or Discover, your order will be processed immediately and your order will ship within 1-3 business days of being received, however, this is not a guarantee and orders can take longer to fill depending on the time of year, etc. "All credit card orders over $500 (incl. Shipping and Handling Information
*All orders for U.S. customers located in the continental, contiguous United States are shipped via UPS Ground service as the standard method of shipping unless an alternate method is requested by customer, or circumstances require an alternate method of shipping be used.
** UPS 3-Day Select service is a ground service, but is classified the same as air service for dimensional weight and hazardous materials charges.
*** Orders for U.S. customers outside the continental, contiguous United States (i.e. Hawaii, Alaska, and Puerto Rico) are shipped via best and least expensive method available, unless an alternate method is requested by customer.
****Orders for non-U.S. customers are shipped via the best and least expensive method available. The carrier selected for non-U.S. shipments may vary with every shipment depending on the rate offered. These rates must be quoted.
Shipping and handling estimate: There are many factors that go into calculating the shipping and handling cost of your order. All of these factors make it almost impossible to provide an exact cost to you until the order is actually packaged and ready for shipment. We do not have standard shipping rates because no two orders are exactly the same. If you require a shipping and handling quote for your order, IMMVA can provide a high estimate only. The actual shipping and handling charge will appear on your invoice and is usually lower than the estimate. How Long It Takes To Fill Your Order

If you have provided us with your email address on your order, you will receive an email "shipment notification" from UPS the day your order leaves our facility. The email will contain a link to the UPS website along with a tracking number which will allow you to track your order 24 hours a day, as well as to see who signed for your order when it is delivered to your location.
